Job Description

Classification: Full-time employment; exempt from overtime

Reports To: Vice President

Summary: The executive assistant provides high-level administrative support to the vice president and staff to serve the firm’s clients and projects; processes, organizes, files, and retrieves information; maintains confidential and sensitive information on behalf of the firm; and more.

Essential Duties

  • Manage calendar, phone, travel, and correspondence for the vice president and staff
  • Schedule and arrange logistics to support other team members, such as setting up meetings by planning, contacting meeting venues and caterers, distributing meeting handouts, and communicating with prospective attendees by phone, mail, and email
  • Compile and organize information, both physical and electronic, such as contact information, reports, and notes, as well as retrieve information quickly and accurately upon request
  • Write and format memos, letters, and other documents using the Microsoft Office suite
  • Offer general office support, including filing and photocopying/scanning
  • Assist receptionist as required to answer phones and greet visitors and clients
  • Assist with the opening, sorting, and distribution of incoming correspondence, including phone messages, faxes, and emails
  • Maintain confidentiality of the firm’s corporate paperwork and financials, and exercise discretion based on the wide range of information to which the position will be privy
  • Work closely with accounting to ensure reports and receipts are submitted monthly for processing
  • Assist marketing and communications staff with special event logistics, planning, and execution

Qualifications

An equivalent to the completion of a high-school diploma is required. An associate degree in office administration or related field of study is preferred. Five years’ experience in an office administration position or an equivalent combination of education, training, or experience that provides the following knowledge, skills, and abilities is required:

  • Communicates effectively—both verbally and in writing—to clients and employees
  • Deals competently with a number of tasks at one time and completes them in a timely and professional manner
  • Works cooperatively with employees at all levels of the organization
  • Has strong competency using Microsoft Office suite, including Word, PowerPoint, and Excel
  • Maintains thorough knowledge of integrated email and calendaring systems (e.g., Microsoft Outlook, Google Mail, and Google Calendar)

Work Environment

Work is primarily performed in an indoor, environmentally controlled office setting with extended periods (approximately eight hours or more a day) at a computer, on the telephone, sitting, or standing. The nature of the work has frequent interruptions, contact with the public and clients, performance of repetitive tasks, and requires strong communication skills. While the employee may be required to work beyond normal working hours, Public Sector Consultants (PSC) strives for staff to maintain a healthy work-life balance.
